Harvester to Eventscribe Registration Connection

Your speakers already use the Harvester Speaker Task Center to upload presentations, complete their profiles, and sign agreements. With this feature, registering for your event can be one of those tasks, too.

You add a Download task that links to registration. Each speaker sees it in their task list, opens it, and lands in Eventscribe Registration already signed in with their details filled in. As soon as they finish registering, the task is checked off automatically — no exporting registration lists to see who has registered, and no reminders to people who already signed up.

What you get

  • A Download task you can add to your speakers’ task list, alongside their other tasks.
  • Speakers move from “I need to register” to “done” without leaving your event’s workflow.
  • Real-time visibility: a speaker’s Download task shows complete the moment they finish registering, so your speaker task reports show exactly who has registered.
  • Send each speaker to the right rate — complimentary or discounted — automatically.

What you set up vs. what Cadmium sets up

Your Cadmium team sets up the behind-the-scenes connection between the Harvester and Eventscribe Registration, including the event connection and your registration rates. Your part is one thing: add a Harvester Download task that sends speakers to registration, and paste in your registration link.

NOTE

You don’t need to touch any integration settings, event connections, or API keys. Your Cadmium team handles all of that for you.

Set up the Download task

You use the existing Harvester Download task — there’s no new task type to learn. In your event’s Harvester task setup:

  1. Go to Tasks and add a new Download task.
  2. Set Download Type to Web Link so the task opens a web address instead of a file.
  3. Set Bypass Achievement System to Yes (see the note below).
  4. In the Link / URL field, paste your step-based registration link. See Configure your registration link below.
  5. Give the task a Title your speakers will see, set a due date, and choose which speakers it applies to.
  6. Select Save.

IMPORTANT NOTE

Set Bypass Achievement System to Yes. This lets registration mark the task complete only after the speaker finishes registering, rather than the moment they open it. Without it, the task could complete as soon as a speaker opens the link.

CADMIUM RECOMMENDS

Give the task a clear title and a due date — for example, “Register for the Conference” — so it stands out in each speaker’s task list.

Configure your registration link

The step-based registration link carries each speaker’s details into registration so their form is pre-filled, and it can send them to a specific rate. Use one of the two forms below — the only difference is whether you include a promotion code.

  • StepNumber=1 - replace the 1 with the step number in your registration displays the fees. Note that you will need to set “Allowed to be first page” in Step-Based Registration Setup to ensure the flow works correctly.
  • Replace ActivityID with your meeting’s activity - you can find this in your step based registration URL.
  • Add PromtionCode to send speakers to a specific rate, or leave it off for default pricing. Replace REG10 with the promotion code your Cadmium team set up for that rate.
  • Leave the hotkey values that begin and end with @@@@ exactly as written — the Harvester fills in each speaker’s real details automatically. 
  • Keep NoReset=1 at the end — it keeps the speaker’s details filled in so they don’t have to re-enter anything.

IMPORTANT NOTE

Keep the tokens and NoReset=1 exactly as written, and don't remove ActivityID or the speaker / task tokens — those are what let Registration sign the speaker in and report back that they registered.

What your speakers experience

Step by step

  1. The speaker opens their Speaker Task Center from the link in your event’s email.
  2. They find the Download task in their list. It looks like their other tasks, with a title, a due date, and a button.
  3. They open the task and are taken to registration.
  4. They’re already signed in, with their name, email, and other known details filled in — no separate login and no re-typing.
  5. They’re returned to the Speaker Task Center automatically, and the Download task shows complete.

Good to know

  • The task completes on its own once registration is finished; speakers don’t mark it done.
  • If a speaker is interrupted, they can return and finish later. The task updates when they complete registration, even if they start on one day and finish on another.

Frequently asked questions

How do we control what each speaker pays?

Include a promotion code in the registration link to send the speaker to a specific rate, from a $0.00 complimentary speaker rate to any discounted rate. Leave the promotion code off if the speaker should get the meeting’s default pricing. Your Cadmium team sets up the promotion code and its rate; you add it to the link.

What if a speaker closes their browser before returning to the Harvester?

The task still completes. Registration notifies the Harvester directly when a speaker finishes, so the task updates whether or not the browser returns.

What if a speaker registers directly in Eventscribe Registration instead of from the task?

Registrations that don’t start from the task won’t check it off automatically. To keep tasks accurate, ask speakers to open the Download task in their task list. Your Cadmium contact can help reconcile a task if needed.

Does canceling or refunding a registration reopen the task?

Not automatically at this time. If a speaker cancels their registration, let your Cadmium contact know so the task can be updated.
