Cadmium's Enterprise arrangement allows a Customer to have access to the Eventscribe modules that are needed for multiple events and work independently with limited support from Cadmium. Each of the following Eventscribe modules are available for purchase within the Enterprise agreement; each is sold separately:
- Registration
- Abstract Management System (Scorecard)
- Speaker Management System (Education Harvester)
- Exhibitor Management (Expo Harvester)
- Mobile App
- Website
- Survey Magnet
Provisioning of the Registration module is conducted by the Customer by selecting either 'New Meeting' or 'Clone a Meeting' link within the module's Home Page. Provisioning of other Eventscribe modules (except for Registration) is conducted by the Customer within the Event List page in myCadmium by clicking the 'Enterprise' button in the header. Customers are responsible for adding modules/events with event dates that fall within the Enterprise agreement.

Service Activity Descriptions
Activity 1: Create Administrative Accounts (Registration only)
This activity is to create administrative accounts within the Registration module which can be used for accessing the Eventscribe platform. Cadmium will establish the administrative accounts and will share those account credentials with the Customer.
Activity 2: Establish Connections with other Eventscribe Modules (Registration Only)
This activity is to establish connections between the Registration module and Cadmium's other Eventscribe modules, if provisioned. Cadmium will establish these optional connections upon request by the Customer. Training in creating connections is provided upon request.
Speaker Management System to Registration System migration
Cadmium will configure the registration software to allow the migration of presentations from the Speaker Management System's schedule to the Programs & Workshops section within the Registration system. This migration of presentation data will include the presentation date, time, number, title, Eventscribe short URL (if applicable), and presentation ID for the presentations selected. After the connection is established, it is the Customer's responsibility to migrate any presentations that require registration and configure the registration form to include presentation selection.
Exhibitor Management System to Registration Connection
Cadmium will configure the Exhibitor Management System and registration software to connect the Exhibitor Management System's Registration Badges task to the Registration module. After Cadmium testing is completed, it is the sole responsibility of the Customer to carefully review and test its configuration.
Registration to Website/Mobile App Connection
Cadmium will configure the Registration system to synchronize registration records to the users list within the attendee-facing module(s). Once established, this connection will send new/modified registrations to the users list and remove cancelled registrations from it.
Activity 3: Data Import (Speaker Management System or Exhibitor Management System only)
This activity is to import data that had been collected by the Customer external to the Eventscribe product into the module.
- Data imports must be properly formatted using the Import Spreadsheet template. The template is available within the related Mission found on the product dashboard. Uploading a formatted Import Spreadsheet to the mission automatically generates a request for the Cadmium team.
- Each data import is limited to five thousand (5,000) records per import file. Multiple data imports are permitted, but each must contain unique data to prevent duplicates.
- Improperly formatted data or omitted required fields will be reported to the Customer with instructions on how to correct the file.
- The data import utility is used to create new records only.
- Completion of a data import may take up to two (2) business days.
- Cadmium staff will complete the data import and will spot-check the data for correctness after it is imported.
- Following an import, the Customer must review the imported data for completion and accuracy and notify Cadmium of any omissions or inaccuracies before any subsequent data changes occur.
Activity 4: Quality Check
This activity allows Cadmium to review a module's configuration and conduct high-level functional testing for quality assurance before launch. It is completed upon request by a Customer after they've completed configuration and have conducted their own final review and testing.
- For most modules, Quality Checks can be requested from within the 'Pre-Launch Prep' mission found on the product dashboard, which triggers an automated notification to Cadmium staff.
- Completion of a Quality Check may take up to four (4) business days.
- Feedback and recommendations, including suggestions for improvement and configuration mistakes, will be provided to the Customer within the Cadmium ticketing system.
It is the responsibility of the Customer to review any feedback provided by Cadmium and to review and rectify configuration deficiencies that were cited prior to launching the software. Failure to review and remediate the configuration may cause the software to underperform.
Activity 5: Main Screen Design Layout (Mobile App only)
This activity is for Cadmium to implement the main screen layout and bottom navigation bar as requested by the Customer via the Cadmium ticketing system. It requires adding or removing tiles on the main screen and adding or editing the bottom navigation bar items. It is the Customer's responsibility to adjust settings for each tile on the main screen which are used for content restriction and appearance, including any relevant graphics, colors, icons, etc.
Activity 6: White Label Build (Mobile App only)
A White Label app is a customized app that is branded exclusively for an organization or event. It is an alternative to utilizing Cadmium's Eventscribe App. Upon request by the Customer, Cadmium will build the app as a White Label App using the Customer's developer account and will submit the App to the Apple and Google Play stores on behalf of the Customer. The completion of this activity is contingent upon Customer successfully meeting all the following criteria:
- Completion of the 'Container App Setup' Mission by the Customer
- The Customer provides Cadmium admin-level access to the Customer's Apple developer account and certificates.
- Final design of the main screen by Customer.
- The agreements of the Apple Developer Account are kept current by the Customer.
- The Customer must notify Cadmium of the approval or rejection of any submitted App Build request received from Apple or Google.
Optional Items
The following optional items are outside the scope of Enterprise agreements and are therefore available for purchase. Contact your Account Manager for further details and pricing.
Software Training
This activity is to train the Customer's Point of Contact on how to use the Cadmium provided software to support the Customer's use case. This option is offered in blocks of five (5) hours per module. Training calls are conducted virtually and may be recorded upon request. The content and duration of training calls can be tailored to a Customer's specific needs. The scheduling of training sessions is subject to the availability of Cadmium product experts. Topics will vary but will include product functionality and best practices based on use case details provided by the Customer.
