Cadmium Identity Transition Plan for Eventscribe

IMPORTANT NOTE

This article is part of a temporary transition plan for accounts during the migration period. The information provided here is intended only for the duration of the transition and does not reflect how accounts will function in Eventscribe after the transition is complete. This change affects local logins only. Customers using Single Sign-On (SSO) methods are not impacted by this change.

Overview

Cadmium is updating how attendees sign in to your event by moving authentication to Cadmium Identity, Cadmium's identity management system. This update applies to the attendee-facing Eventscribe modules, including the Website, Survey Magnet, and the Mobile App, and will roll out module by module throughout 2026.

Because attendees may move between your website, surveys, and the mobile app for a single event, our goal is that every eligible event uses one consistent login across all the modules. The rollout is driven by your event start date, not by which modules you use.

This article explains:

What Is Changing

As we implement Cadmium Identity into the Eventscribe attendee-facing modules, the following will change:

  • Attendees will sign in with Cadmium Identity instead of an access key
  • Attendees will be redirected to a new login screen when accessing the Cadmium software for your event
  • After signing in, attendees are returned to the page they originally attempted to access
  • Attendees who don't already have a Cadmium Identity account will create one on their first sign-in

Instead of an access key, attendees sign in with their email and a secure password, and they also have the option to use a one-time access code. The same login works across your event's website, mobile app, and surveys.

This change affects local logins only. Customers using Single Sign-On (SSO) methods are not impacted by this change. There are no changes to:

  • Event content, agenda, or sessions
  • Attendee registration data
  • Survey responses or session activity
  • Organizer roles or permissions

First-Time Login Experience

The first time an attendee logs in after Cadmium Identity is enabled for your event, they will need to create a Cadmium Identity account, if they don't already have one. An attendee may already have a Cadmium Identity account if they are a user in another Cadmium application connected to Cadmium Identity, such as Lead Capture or Elevate.

If your site requires registration, they should create an account with the same email address as their record in the Website, Survey Magnet, or Mobile App user list.

The Cadmium Identity account is used purely for authentication and is linked to their record in the Website, Survey Magnet, or Mobile App user list at first login by matching on email address. Their user record continues to determine content permissions, track achievements, and manage everything else tied to their participation in your event.

Step-by-Step Attendee Login Flow

  1. The attendee clicks Log In in the event Website, Survey Magnet, or Mobile App.
  2. They are redirected to the Cadmium Identity login page.
  3. If they don't already have a Cadmium Identity account, they will be prompted to create one by entering their email address, first name, and last name.
  4. A verification email is automatically sent from noreply@gocadmium.com and they are prompted to confirm their email address and create a password.
  5. Upon successful account creation, they are redirected to the originating application.
  6. If you allow account creation, the application creates an attendee record in the user list.
  7. If you do not allow account creation, the application checks their email address against the user list to determine what they are authorized to access.

NOTE

Account creation only needs to be completed once across all Cadmium applications and events using Cadmium Identity for user authentication. Attendees have just one set of credentials to remember no matter how many of your events they attend.

When This Is Happening

Cadmium Identity is rolling out module by module throughout 2026 starting with the Eventscribe Website. On September 18, 2026, we are automatically enabling Cadmium Identity for event websites with events that take place after July 1, 2027.

However, Cadmium Identity will not be available in the Survey Magnet and the Mobile App until later in 2026. When it is available, events that happen after July 1, 2027 will have Cadmium Identity enabled automatically for those modules.

What this means for your event

Cadmium Identity turns on automatically across the modules your event uses. If your event uses more than one module, everything settles onto a single, consistent login.

Why This Change Is Happening

Moving authentication to Cadmium's identity management system allows Cadmium to:

  • Improve security and credential management
  • Provide a more consistent sign-in experience across your event's modules and across Cadmium products
  • Support future enhancements to identity and access management
  • Offer modern sign-in options, such as one-time access codes and passkeys

What Event Organizers Should Do

To ensure a smooth transition, organizers should:

  • Notify attendees of the upcoming sign-in change ahead of time using the suggested template below.
    • Cadmium recommends sending this communication about 4 weeks before, and again about a week before, attendees will sign in.
    • Let attendees know they'll create a Cadmium Identity account (or set a password) on their first sign-in.
  • Add a banner to your event site letting attendees know a new login is coming.
  • Share Cadmium-provided resources with attendees in advance.

Providing advance notice helps reduce confusion and sign-in-related support requests during your event.

Can I Use Cadmium Identity for an Event On or Before July 1, 2027?

Yes. Events on or before July 1, 2027 are not part of the September 16, 2026 bulk enablement, but you can opt in.

  • If your event uses the Website only: there's no cross-module consistency to manage, so Cadmium Identity is ready for your event today. There's nothing for you to build or configure – just let your Project Manager know and we'll turn it on.
  • If your event uses more than one module: we can still enable Cadmium Identity on a case-by-case basis. Depending on when your event takes place relative to each module's Cadmium Identity availability, attendees may see different sign-in experiences across the Website, Survey Magnet, and the Mobile App. Your Project Manager will walk you through what to expect before enabling.

We're updating how you sign in to {{Event Name}}. Starting {{Transition Date}}, you'll use Cadmium Identity.

What's changing: instead of an access key, you'll sign in with your email and a secure password. You can also use a one-time access code. It's faster, more secure, and the same login works across your event's website, mobile app, and surveys.

What you need to do: nothing right now. The next time you visit {{Event Name}}, just follow the prompts to sign in.

Troubleshooting & Support

Common Questions

1. Will attendees lose access to their registration, sessions, or survey responses?

No. This update affects sign-in only and does not change event content, registration data, or attendee activity.

2. Do all my event's modules switch to Cadmium Identity at the same time?

No. Cadmium Identity becomes available in the Website first, then Survey Magnet, then the Mobile App. Each module switches on as it becomes ready. During the transition, attendees can continue using the access key in any module that hasn't adopted Cadmium Identity yet.

3. What if an attendee forgets their password?

Attendees can use the Forgot Password option on the Cadmium Identity login screen or request a one-time access code.

4. What if an attendee can't sign in?

  • Confirm the attendee is using the correct email address.
  • Have the attendee try the Forgot Password option or a one-time access code.
  • Contact Cadmium Support if the issue persists.

5. What is authentication?

Authentication is the process of confirming that a person is who they say they are when they sign in. It helps keep accounts and data secure by preventing unauthorized access.
