Lead Capture Onsite Booth Drop Flyer

Use the mail merge template to generate booth-specific Booth Drop Flyers for distribution at the event by combining a Word template with data from the Lead Capture Summary report.

What You’ll Need

  • Booth Drop Flyer template (download below)
  • Summary report (download from the Lead Capture Admin Portal under the Reports tab)
  • Event-specific assets and information (1700x340 banner, Wi‑Fi & support details) 

Step-by-Step Instructions

  1. Prepare the Summary report 
    • Open the Summary report 
    • Review the Total Licenses column 
    • Delete all rows with a value of 0, meaning no licenses are assigned; do not delete any columns 
    • Save the cleaned report
  2. Update the flyer content 
    • Open the Word template and update the following sections with event-specific information: 
      • Event banner (additional instructions below)
      • Wi‑Fi information 
      • Support details 
    • Save your changes before starting the mail merge 
    • Configure the mail merge
      • Go to Mailings  Select Recipients  Use an Existing List
      • Select the cleaned Summary report file from your computer
      • Select Sheet 1 when prompted and leave Cell Range blank; select OK
      • Click Preview Results and verify that booth-specific information populates correctly 
      • Select Finish & Merge  Edit Individual Documents
      • Save the document
  3. Print and distribute the flyers onsite at the event

IMPORTANT NOTE

You can edit the wording in the flyer but do NOT edit the merge tag fields (anything in angle brackets e.g. «Total_Licenses») or they will not work; the merge tags align with the column headers in the Summary report

Event Banner

Add an event banner by following the steps below. The banner image must be 1700 x 340 pixels.

  • Edit the header by double-clicking on the banner template (safe area)
  • Right click on the banner template (safe area)
  • Select Change Picture From a File 
  • Insert your event banner file from your computer

Tips 

  • Keep a backup copy of the original Summary report before deleting rows
  • Always preview multiple records (e.g. long exhibitor names) to ensure formatting is consistent
  • Test-print one flyer before printing in bulk
