Upload Tasks

The Upload Task is used to have team members upload various file types.  Additionally, you can provide files within the Task for a team member to download, complete, and then upload all within the same Task.  The instructions below will walk you through how to add, edit, and activate a Upload Task.

Add Task

To add an Upload Task, navigate to the "Tasks" page using the Tasks icon at the top-center of any page within Logistics.  Then, select the "ADD NEW TASK(S)" button toward the upper left-hand corner of the page (Fig. 1).

Select the check box to the left of the "Logistics - Upload" Task.  Then, select the "CONTINUE" button (Fig. 2).

General Tab

Within the "General" left-hand navigation panel, enter the core details for the Task (Fig 3).

  • Task Title - This is the name of the Task the team member will see on their Task list.
  • Status - This drop-down indicates if the Task will show on the Task list.
  • Choose "Active" from the drop-down menu to activate the Task.
  • Order - Task Order allows you to arrange the order of the Tasks on the Task list.  For example, if this Task should be listed third, enter "3."
  • Label for Button to Complete Task - This text will display on the button the team member will select to complete the Task and return to the Task list.
  • Due Date - This date is a visual reference that will show at the end of a Task on the team member's Task List and is NOT enforced.  Once this date has passed, the text color for the date will turn red.
  • Cutoff Date to Receive Data - This date will prevent a team member from accessing the Task.
  • Lock Task when Completed - This setting will lock the Task after the team member has completed the Task.  If set to "Yes," the team member will not be able to access the Task, regardless of Due Date.
  • Auto Email Admin when Task completed - If you or someone from your organization would like to receive an email each time an Upload Task has been completed, enter the email address(es) in this field.

Task Instructions

Within the "Task Instructions" left-hand navigation panel, enter any instructional text that will display within the Task and choose to upload a FAQ document that will display beneath the Task instructions (Fig. 4).

  • Instructions - This text will display to the team member to help them understand how to complete the Task.
  • Message When Task is Complete - This text will display to the team member within the Task after the Task has been completed.
  • Task FAQ Label - This text will display as a link for the FAQ Document.
  • Task FAQ Document - This document will serve as a help guide for the Task.

Filters Tab

Within the "Filters" left-hand navigation panel, and if needed, select the team member roles that should receive the Task (Fig. 5).

NOTE

If a role is selected, team members must have the role set within their account in order to receive this Task.  This Task will NOT display to team members who have been assigned the respective function role.  If you want the task to be assigned to all team members, regardless of their role, do not select any roles.

Upload Options Tab

Within the "Upload Options" left-hand navigation panel, decide if team members should have an opt-out option and create the appropriate number of upload slots for the Task (Fig. 6).

  • Provide an opt out option - This drop down is used to enable or disable the opt out check box that will display to team members.
  • Opt Out Option Text - This text will display next to the opt out check box.
  • Label - This text will display as the label for the upload slot.
  • Status - Decide if the upload slot is On, Required, or Off.
  • Type - Choose the appropriate file types for the upload slot from the drop down menu.  Multiple file types can be selected. Additionally, you can remove file types that are a part of a bundled group.
  • Upload Image - Choose the image that will represent the file types that can be uploaded.  For example, if you chose image extensions for the previous drop down, select "Picture (.jpg)" from the drop-down menu.  This image will give team members a visual representation of what file type can be uploaded.

Extra Options Tab

Within the "Extra Options" left-hand navigation panel, decide if team members should receive an email after a file has been successfully uploaded.  Additionally, you can upload up to three documents for team members to download within the Task (Fig. 7).

  • Auto Email User When Files are Uploaded - When this setting is set to "Yes," team members will receive a generic email acknowledging that their document was successfully uploaded to the Task.
  • Document #'s 1-3 - The text label will appear as links for team members to select and download the appropriate files.
  • Upload Documents - To upload documents either drag and drop the file to the drop zone or select the green "Upload" button to choose a file from your computer.

Save Changes

After all edits have been made, select the green "Save Changes" button toward the upper right-hand corner of the page (Fig. 8). Be sure to test the Task by logging in as a team member in Logistics.

Hide Task

If at any time you need to hide the Task from team members, select the eyeball icon to the left of the Task Title (Fig. 9). The Task's row will turn red, but the Task will still be seen by client administrators within a team member's account on the end user Logistics site.

NOTE

This adjustment is different from making the Task inactive.  This is commonly used when adding Tasks when the Logistics site is already live for team members, and the Task is still in testing mode.
