- Email Label (for internal purposes only)
- The correct Distribution List from the To: drop down
- The correct From: email address
- Email address(es) to copy separated by semi-colons
- Subject Line
- Add any files (less than 400kB) that you would like to attach to the email
- Select the gray 'Update' button toward the upper right-hand corner of the page.
To create a new email, navigate to the Communication page in the App module. Select the 'CREATE NEW EMAIL' button from the top left corner of the page (Fig 1).

Start by editing the Distribution List by selecting the 'Edit Distribution' button (Fig. 2).

You need to edit or adjust the following:

To create a Custom Distribution list:
Choose 'Users: Custom Distribution List' from the drop down menu. Then, select the gray 'Update' button (Fig. 4).

On the next page, select the blue 'Custom Distribution List' link (Fig. 5).

Use the search bar or the column icons to filter and select the appropriate users for your custom list. Select the check box to the left of the user’s name to add them to the distribution list. When complete, select the gray 'Update Distribution List' button to continue.

To add a new FROM email address, select 'Edit Distribution'. Type or paste the email address in the From field, then select the Update button (Fig 7).

WARNING NOTE
By default, you can send emails in Eventscribe using the ‘From’ email address [email protected]. If you prefer to send emails using your own email address, you will need to authenticate your domain with our email service SendGrid. Please contact your Project Manager if you have questions
Select the 'Edit Email Body' button to continue to the email editor (Fig. 8).

Add the text for the email body. Use the Email Hotkeys shown on the gray bar to customize the email to the user. We recommend to brand the email by using the Banner Hotkey at the very top of the email body. After you have created the email body, select the gray 'Update Body' button to continue (Fig. 9).

IMPORTANT NOTE
You can find additional Hotkeys by hovering your cursor over the yellow text, "Click to See Hotkey List."
To test the email, select the blue 'Test' icon (Fig. 10).

Then, complete the following steps:
- Add an email address to the To: field.
- Check box one or more users from your distribution list below.
- Select the gray "Send Test Email" button. Email(s) will be sent to the address in the TO field, and the email will show exactly how it would appear to the user(s) you have selected.
- The users selected will NOT receive an email. This is just for testing purposes.

Next, Select the "Preview" button before sending out any emails (Fig. 12). You will see a preview of all emails that will be sent from the administrative side of the Mobile App. This will be the last step to make sure all emails are formatted correctly and the data from the Hotkeys is accurate.

To edit the email, select the Edit button to return to main email editor.
If you are satisfied with the email, select the "Send" icon. Then, select the red "Yes" button to finish sending the email (Fig 13).
You will receive a notification that the email was sent successfully.

Select the Communication Module to view your list of emails. The recently sent email will now appear within the 'Sent Emails' bucket.
