Service Activities
While each Service Activity is strongly recommended, some become optional as the Customer's prior use and experience with Cadmium's Livestream offering grows. The Service Activities below are listed in a typical completion order, but the order may differ by implementation.
The following Cadmium provided Service Activities are included with each Livestream project associated with a fully virtual event:
Project Management Activities

Day of Event Monitoring Activities
- Monitor livestreams on day(s) of event.
Post Event Activities

Services not listed are outside the scope of this agreement.
Important Notes
- Livestream feeds can be made available within Cadmium’s attendee-facing modules: Website, Elevate or EthosCE. Each module is purchased separately and has its own Service Listing.
- Livestream fees are variable and are based on the number of livestreams per day.
- Cadmium hosts all virtual activities using Zoom or Streamyard and does not provide any equipment or recording devices.
- Cadmium is not responsible for any third-party tools used for closed captioning or translation services.
Service Activity Descriptions
Activity 1: Kickoff Call
This optional and highly meeting serves as the formal start of the project. It will be scheduled and conducted by Cadmium with time budgeted for pre-call prep and post-call documentation. During this meeting, Cadmium will:
- Confirm the size of the event (number of channels per day/dates).
- Confirm production options and discuss each.
- Establish channel distribution for the event.
- Plan future implementation activities and meetings.
- Introduce the Run of Show (ROS) document.
- Identify the AV Provider with contact information.
- Overview of the Audience Response System (ARS).
- Establish the best communication channels during the event.
- Establish how Recordings should be handled.
- Livestream requirements which may incur added service costs (e.g., Skins, Lower thirds, pre-records, tech checks, green room, hours outside of typical business hours (International events/weekends).
Activity 2: Book AV Provider
The purpose of this activity is to book and coordinate with one of Cadmium’s AV partners to provide production services for the fully virtual event. Discussion items to confirm with AV partner include:
- Dates of Livestreaming.
- Number of concurrent streams per day (This will be used to determine how many techs will be needed.)
- Specific scope of the event - Livestream options beyond Cadmium’s standard streaming package may incur added service costs, e.g., Skins, Lower thirds, pre-records, tech checks, green room, hours outside of typical business hours (International events/weekends).
Activity 3: Software Training
This activity provides training for the Customer. It is Cadmium's goal to enable the Customer to use the software independently. An implementation typically requires 1-2 training calls. Upon request, Cadmium will facilitate training calls to cover any of the following topics:
- Review of overall ARS strategy.
- How and where to access moderator links.
- Discuss how to clear questions, delete questions, approve questions, if applicable.
- Configuration of ARS options.
- Review the "System Message" feature to pin a message on top of the ARS window.
- Configuration options for Livestream window.
- Reporting Options.
Activity 4: Run of Show (ROS) Review
Cadmium reviews the Run of Show (ROS) document to make sure the entire broadcast schedule is detailed and timed appropriately for quality production. It is the Customer's sole responsibility to provide the ROS using the Cadmium-provided templated format. If upon review, it is discovered that pertinent details are needed or that changes are needed, Cadmium will notify the customer of those items. Some examples of content being reviewed are as follows:
- Presentations are listed with the correct time zone.
- All Sessions/ Presentations to be livestreamed are included on the ROS and have titles consistent with those in the Education Harvester.
- Starting and ending times of broadcasts are clearly listed to ensure proper scheduling of support technicians.
- Confirm sufficient breaks between sessions are planned to avoid overlapping sessions.
- The accuracy of the ROS is the sole responsibility of the Customer, as it is used by Cadmium for event production.
- It is the Customer's responsibility to provide intro slides and transitional materials to be broadcast between presentations. These items are to be uploaded to the designated shared storage location, referenced in the ROS.
Activity 5: Technical Configuration
This activity is to conduct technical configuration of Livestreams within the attendee-facing software (e.g., Website), based on ROS document contents. Cadmium responsibilities include:
- Create Streaming Channels and generate streaming keys in Warpwire.
- Add Streaming RTMP address and Streaming Keys onto ROS for AV Partner.
- Configure each broadcast as listed on ROS - By Channel/Session - Confirm Time zone, broadcast start, and stop times on ROS.
- Add Closed Captions to each broadcast if requested.
- Add Event placeholder Preview image to each broadcast.
- Adding a livestream for every livestreamed presentation/session.
- Add previously generated Livestream links to every presentation within each Session.
- Copy each Moderator link onto the ROS for easy access for Cadmium’s Livestream team /Client/ AV team/ Moderators.
- Copy each stream preview URL for each Livestream Session/ Channel onto the ROS for easy access for AV company and Client to monitor Livestream.
- Input the embed codes (From Warpwire) into the "Alternative Livestream" field to properly show the correct Broadcast.
The Customer's responsibilities include:
- Ensuring that the ROS is kept accurate and current, and notifying Cadmium of any last-minute changes.
- Review ARS configuration and make changes as needed.
Activity 5: Quality Check
Cadmium carefully reviews the configurations to verify proper configuration including Livestream links, moderator links, and embed codes.
Activity 6: Monitor Livestreams on Day(s) of Event
This activity provides oversight during a livestream broadcast to ensure quality and accessibility of broadcast content. Cadmium is responsible for the following:
- Verifying broadcasts start at scheduled times.
- Verifying AV Partner connects an encoder to livestream (usually 30 minutes prior).
- Verifying audio and video sent by AV Partner are properly configured.
- Testing streaming links and Moderator links.
- Testing livestream buttons are working properly and pointing to the correct livestream.
- Monitor Livestream(s).
- Alerting the AV partner and the Customer of any broadcast issues. Note: Cadmium does not control nor is it responsible for any of the AV Partner activities, equipment, or networks.
Cadmium is responsible for monitoring livestream content for up to ten (10) hours per day. Each technician can monitor up to five (5) channels (Livestreams) simultaneously.
Activity 7: Recorded Livestream Videos for On-Demand Consumption
The purpose of this activity is for Cadmium to edit the recorded livestream content and make content available for on-demand consumption within an attendee-facing module. Cadmium is responsible for the following:
- Make minor edits including trimming of excess time in beginning or end of the entire recorded presentation.
- If backup is needed, obtain recorded content from AV Provider.
- If Closed Caption files were generated and provided, Cadmium will trim the files to match timing and will associate the closed caption files with the recordings.
- Add the video links directly to attendee-facing Eventscribe module OR provide the Customer with notice that the videos are available for review, whichever had been agreed upon during planning stages.
Important Notes:
- The completion of this activity may take up to three (3) business days.
- Upon request by the Customer, Cadmium will provide content for review by the Customer prior to posting it to attendee-facing module(s).
- Upon request by the Customer, Cadmium will upload videos to an alternative shared storage platform (e.g., Dropbox) so the Customer can download the videos for their own use.

Closed Captions
Cadmium will generate closed captions (CCs) for streamed content which by request can be made available for on-demand consumption. Captions are auto generated and cannot be edited.
Rehearsals
Cadmium provides 1-2 training calls to allow presenters, moderators, and the Customer to rehearse broadcast procedures in preparation for the live event. Upon request, Cadmium will schedule and facilitate the training calls. The Customer is responsible for inviting stakeholders and for any subsequent communications with the Customer stakeholders.
Expedited Turnaround for Recordings
Cadmium will expedite the turnaround time for trimming and posting recorded livestream content. Instead of the standard completion of three (3) business days following an event's conclusion, Cadmium will provide a trimmed version of the recorded content within 24 hours of its live broadcast.
Pre-Recordings/Graphics/Editing
Cadmium will schedule and facilitate sessions where content for livestream is pre-recorded and later broadcast. Each session includes preparation including lighting and audio adjustments, facilitation of recording, and retakes when necessary. Following the recording, Cadmium provides full editing services to remove audio glitches or visual distractions. Hourly rates apply.
Background graphics may be created or utilized as needed but may incur an additional charge.
