Service Activities
While each Service Activity is strongly recommended, some become optional as the Customer's prior use and experience with Eventscribe grows. The Service Activities below are listed in a typical completion order, but the order may differ by implementation. The following Cadmium provided service activities are typical for implementation but may vary depending on the complexity of the Customer's use case and experience in the Eventscribe platform. An inaugural implementation typically requires 3-4 weeks; the duration of a subsequent implementation is typically 2-3 weeks. A rushed implementation schedule may be feasible but might incur additional costs.

Service activities begin when the Customer completes the "Get Started" mission located on the dashboard of the Website module which can be accessed by logging into myCadmium (https://mycadmium.com/) and clicking the 'Website' product bubble for the appropriate event.
Services not listed are outside the scope of this agreement.
Important Notes
The following are important notes that ought to be considered during the implementation process:
- The Eventscribe website uses the Eventscribe content collection modules as the source for dynamic data associated with an event.
- All data entry and configuration of navigation, graphics, target addresses, permissions, along with formatting and content of static pages are the sole responsibility of the Customer.
- Usage of a third-party analytical service, custom CSS, or custom JavaScript (e.g., Google Analytics or Pixel) is permitted, but in doing so, the Customer assumes full responsibility for its configuration and accuracy.
Service Activity Descriptions
Activity 1: Kickoff Call
This optional and highly recommended meeting serves as the formal start of the project. The typical duration is 60 minutes or less. The meeting will be scheduled by Cadmium upon Customer's completion of the 'Get Started' Mission. During this meeting, Cadmium will:
- Establish critical milestones and target dates.
- Gather implementation requirements
- Discuss next steps including any tasks that are to be completed by the Customer
- Schedule future training calls as needed.
Activity 2: Software Training
This activity is to train the Customer's Point of Contact on how to use the Cadmium provided software to support the Customer's use case. A typical implementation requires 3-4 training calls with additional training available for complex cases or extenuating circumstances. It is Cadmium's goal to enable a Customer to use the software independently. Training materials including tutorial clips and written instructions will be provided as needed.
Training sessions are scheduled upon request by Customer, conducted virtually, recorded upon request, and tailored to a Customer's specific needs which may include discussion about Customer's use case requirements or review of specific module features and functionality. Topics will vary, but may include the following:
- Navigation Editor
- Tile Screen Editor and Design
- Static Page Editor
- Page Settings
- Displaying Tracks
- Sponsorship Graphics
Using any of the following features adds complexity and typically require additional training time:
- Content Restrictions or Embargo Dates
- International or Multiple Time Zones
- Hybrid Events including Live and Virtual Attendees
Activity 3: Pre-Launch Call
This optional and highly recommended meeting is ideally conducted at least one (1) week prior to Launch with the purpose of reviewing the product's configurations and offering an additional opportunity to resolve any outstanding questions. The typical duration is 60 minutes. Topics will vary but may include the following:
- Time zone settings
- Log in process and settings
- User Feedback
- User Profile Editor options
- User Access Levels
- Content Buttons and Activity Settings
- Content Restrictions
- Unlock Codes
- Validator
- Use of 'My Experience' functionality
Activity 4: Quality Check
This activity serves as a final review of the site's configuration and completes high-level functional testing for quality assurances before Launch. It is completed upon request following the Customer's full review and testing of the module's configuration.
- Quality Checks are requested from within the ‘Launch Prep’ mission found on the product dashboard.
- The completion of this activity may take 3-4 business days for completion.
- Cadmium will direct Quality Check feedback and recommendations, including suggestions for configuration improvements to the Customer Point of Contact within the Cadmium ticketing system.
Activity 5: Pre-Event Review Call
This optional and highly recommended meeting brings Customer and Cadmium stakeholders together prior to an event to ensure that the site is configured appropriately and to address any outstanding questions/concerns of the Customer. Topics will vary but may include any of the following:
- Content buttons
- Communications to Attendees with login credentials
- Agenda items' favorites’ functionality
- Available support during an event and the escalation process
- Questions/Concerns of Customer
- Livestream content (if applicable)
- Audience Response System (if applicable)
- Data flow between Eventscribe modules
Activity 6: Post Event Configuration Review
This optional activity provides a review of the product configuration to recommend an optimal configuration in a future event. It is completed upon request by the Customer and may take up to five (5) business days for completion. If inefficiencies or suggestions for improvement are identified, detailed feedback will be provided to the Customer via Cadmium's ticketing system. The Customer may request a training call for further explanation of the cited recommendations.
Optional Items
The following are add-on features and services that can be purchased separately. Software training and support via Cadmium's ticketing system are included with their purchase. Consult your Account Manager for further details and pricing.
Audience Response System
The Audience Response System (ARS) facilitates Discussion, Questions & Answers, and Polling related to any presentation or poster. Upon request by the Customer, Cadmium will provide training on configuration, proper use, and best practices.
Cadmium's Audience Response System requires the use of a compatible device and the internet. It is the Customer's responsibility to acquire and pay for all hardware devices used for running the software, to ensure the devices are compatible with the software, and to test the software on devices to ensure compatibility.
Embedded Pages within a Third-Party Website
Eventscribe website pages can be embedded in a third-party site using iframe technology and can therefore be purchased in addition to the Eventscribe website. It requires coding expertise from the third-party website administrator, permission to utilize the page, and careful configuration of content within each embedded page. Website design, placement, display, and performance of any website that uses embedded pages are the customer's sole responsibility.
If requested by Customer, Cadmium will conduct training to review functionality limitations associated with this option and provide best practices.
Cadmium will whitelist the Customer's domain(s) and subdomain(s). This requires at least three (3) business days' turnaround time following receipt of the request.
Matchmaking
Matchmaking is a powerful set of features that allow exhibitors and attendees to find and interact based on professional criteria, educational tracks, or exhibitor categories. It requires configuration in the Expo Harvester and on the Eventscribe Website and therefore requires the purchase of both. Cadmium will assist in configuration and provide software training upon request.
Scavenger Hunt
Scavenger Hunt is a gaming experience to enhance your attendees' experience with the Website. Cadmium will help with the configuration of the Scavenger Hunt and upon request, host a training call to review the configuration, features, and functionality in preparation for an event.
Hosting Extension
By default, Cadmium will host the Eventscribe website for 90 days following the conclusion of an event. If needed, Cadmium will extend hosting services for a period of one year. If applicable, any existing functional integration services used for accessing the Eventscribe website will be maintained for the duration of this extension.
