Email Template: Exhibitor Developer Kit Welcome

LIMITED RELEASE

Lead Capture is available to select customers.  If enabled for a customer account, you will be contacted by your Project Manager with more information.  If available to exhibitors, you will be notified by the event organizer.

The following customizable email templates enable event organizers to invite exhibitors to access the Lead Capture Exhibitor Portal.  These templates provide exhibitors with essential information needed to get started, including login instructions and Developer Kit details.  Choose the appropriate template based on whether you are selling the Developer Kit to exhibitors or manually assigning access.

CADMIUM RECOMMENDS

Send the invitation email at least one month before the event if you are not selling the Developer Kit, and at least two months before the event if you are selling the Developer Kit to allow exhibitors ample time to prepare.

NOTE

If you’re using Eventscribe Expo Harvester for exhibitor management, refer to the Inviting Exhibitors to the Lead Capture Exhibitor Portal article for instructions on how to create a custom booth hotkey for the unique login URL.  Otherwise, the unique URLs are available in the Exhibitor Login URLs report.

Email Template – If You Are NOT Selling the Developer Kit

Subject: Lead Capture Developer Kit for [event short name]

Hi [Booth Admin First Name],

I would like to invite you to access the Lead Capture Exhibitor Portal for [event name].

Here is your unique login URL for [company name] - [booth #]: [insert unique URL]

Please note, if you have more than one booth, each booth has a unique URL.

By [deadline], please log in to obtain the API documentation and your booth’s unique API Key to send to your developer.

By [deadline], please ensure your developer configures the connection to the API and tests it.  You can find test accounts [here - insert link to test account badges and expected profile data here].  Once testing is complete, please reply to this email to confirm successful integration.

Note, an internet connection is required for the API to function.  The event WiFi network name and password will be provided closer to the event start date.

CADMIUM RECOMMENDS

Set the published sales cutoff as one month prior to the event's start date with an actual cutoff three weeks out.

Set the published testing deadline as two weeks prior to the event's start date with an actual deadline one week out.

This allows for a one-week buffer for late requests.

NOTE

As long as the exhibitor's developer can turn around implementing and testing the connection to the API prior to the event start date, there's no technical reason you cannot sell it.  The suggested deadlines are to reduce the potential for onsite issues, given that it is the sole responsibility of the exhibitor's developer to implement and test the API.
