Uploading UDF Values for a Set of Registrants

Did you know that you can upload UDF values for a set of registrants? This feature is perfect for when you need to update the UDF data for multiple registrants. There’s no need to edit each registrant’s record individually. Instead, you can upload a CSV file to update multiple registrants at once, even for more than one UDF field.

Follow this step-by-step guide for uploading UDF values:

  • First, go to the User-Defined Fields (UDF) page under the Meeting Wizard header and click the “File Update” link at the bottom of the page.
  • Then, enter your e-mail address in the “Send Notification To” field. Once the upload is complete, a confirmation email will be sent to the address provided.
  • Lastly, choose your file and click “Upload.”
Your file must be a CSV file containing four columns–a column of Registrant IDs, a column with the UDFID or UDFName, a column with the value to be loaded in the field, and a filler column containing an “x” in each row.

The data in the UDFID/UDFName column will be either the "UDF Name" as it appears in the UDF pop-up, or the UDFID, as it appears at the bottom of the UDF pop-up.

The format of the data in the UDFValue column will depend on the type of field you are updating:

  • For text and paragraph fields, the UDFValue column should contain text. (shown in first row of sample above)
  • For checkbox fields, the UDFValue column should be set to “Yes” if it should be checked, and left blank if it should not be checked. (shown in second row of sample above)
  • For choice radio button and choice drop-down list fields, the UDFValue column should be set to the ID number of the list item. (shown in third row of sample above)

To locate the ID number of choice list items, go to the main UDFs page. Click on the name of the choice list to view all of the items in that list. Each item will have an Choice ID number next to it –this is the number you should use in the UDFValue column.
