Service Activities
While each Service Activity is strongly recommended, some become optional as the Customer's prior use and experience with Eventscribe grows. The Service Activities below are listed in a typical completion order, but the order may differ by implementation. The following Cadmium provided service activities are typical for an Onsite Recordings project but may vary depending on the complexity of the Customer's use case and experience in the Eventscribe platform.

Services not listed are outside the scope of this agreement.
Important Notes
- A Cadmium technician can manage up to five (5) rooms per day, unless otherwise determined based on venue layout.
- If an event is held in a Union city/property, the client is responsible for providing the appropriate union labor. Cadmium will collaborate with Customer and the AV Provider to meet union requirements.
- An hourly service fee of $250/hour will be invoiced for any recording rooms with scheduled duration exceeding nine (9) hours per day.
- Technicians are entitled to a one-hour break during each 9-hour shift.
- All travel expenses (airfare, lodging, transportation & meals) are to be covered by the Customer.
- Shipping expenses are to be covered by the Customer.
- A relocation fee of $250 will be invoiced for any room changes that require moving equipment after a room has been set up and tested. Relocation requires two (2) hours before recordings can commence, for set-up and testing.
Service Activity Descriptions
Activity 1: Kick off Call
This meeting serves as the formal start of the project. It will be scheduled and conducted by Cadmium with time budgeted for pre-call prep and post-call documentation. During this meeting, Cadmium will:
- Confirm the size of the event (number of rooms per day/dates)
- Note: Each Onsite Technician can manage up to five rooms per day.
- Establish requirements for editing, viewing, and posting edited videos for post-event consumption.
- Identify the AV Provider with contact information.
- Establish the timeline deliverables and the preferred communication channel to be used during the planning process and onsite production.
Activity 2: Confirm AV Provider Services
Cadmium will contact the Customer's designated AV Provider using contact information provided by the Customer. Cadmium will inform the AV Provider of the equipment needed and confirm that the AV Provider is responsible for providing all equipment (except audio recorders). Configuration and testing of Submission Tasks.
Activity 3: AV Provider Planning Call / Pre-Event Communication
This activity allows Cadmium to conduct event planning with the AV Company to clarify responsibilities of involved parties. Cadmium will schedule and conduct the call with a typical duration of 60 minutes or less. During this call, the following equipment requirements will be discussed:
- A Video feed from the switcher to the Cadmium capture equipment to capture onscreen content. This can be HDMI or SDI.
- If a Camera feed is used, an SDI camera feed to the Cadmium tech table.
- An audio feed from the mixer board to the Cadmium capture equipment, AUX Send 1 is typically used. Cadmium's device takes XLR Male input.
- A single power feed at the audio mixer to accommodate up to two (2) recording devices.
Activity 4: Coordinate On-Site Staffing
This activity is to allocate appropriate technical resources for the event. As part of this activity, Cadmium will do the following:
- Identify personnel for the event.
- Coordinate travel and on-site responsibilities.
- It is the responsibility of the Customer to provide local hotel reservations for on-site personnel. Important notes include:
- Each technician requires a private hotel room.
- It is highly recommended that travel and lodging arrangements are made to allow technicians to arrive the day before recordings start and leave the day after recordings end, which allows for adequate setup and breakdown times.
- Travel/Airline expenses will be billed directly back to the Customer in a subsequent invoice.
Activity 5: Review and Edit Files
This activity ensures concise, high-quality files are produced before they are available for post-event consumption. Cadmium edits files to ensure audio (and video if applicable) clarity, volume, and timeliness. Cadmium utilizes the following parameters, unless instructed otherwise prior to an event.
- Basic editing is included and consists of trimming files to include a 1-second buffer before and after content. Basic editing does not include any inter-file edits.
- Audio is edited for clarity to remove any buzz/hiss and volume regulation.
- All files are encoded as an h.264 .mp4 video w 1.5 Mbps video and 192 Kbps audio to maximize compatibility across devices.
- Editing beyond the included basic level is available at a rate of $200 an hour. Please contact your account manager for pricing and availability.
- It is the customer's responsibility to notify Cadmium of any last-minute changes made to the recording schedule.
Activity 6: Upload Recordings for Post-Event Consumption
The purpose of this activity is for Cadmium to make content available for post-event consumption. Cadmium is responsible for the following:
- Providing edited files within ten (10) business days following an event.
- Upon request by the Customer received before an event begins, Cadmium will provide links to review recordings before posting for end-user consumption.
- Upon request by the Customer, if additional edits are requested, Cadmium will complete the edits at the contracted hourly editing rate. Following the Customer's review and approval of the recorded content and/or additional edits, Cadmium will provide the final recording files.
- Upon request by the Customer, Cadmium will upload videos to an alternative shared storage platform (e.g., Dropbox) so the Customer can download the videos for their own use. Cadmium will retain the content for thirty (30) days.
- Important Note: Cadmium is not responsible for quality concerns of AV Provider production or mistakes made during production.
Optional Items
The following optional services are outside the scope of a standard implementation but are available for purchase. Contact your Account Manager for further details and pricing.
Presenter Video Feed (Per Day/Onsite Technician)
Cadmium will include a video feed of the presenter(s) as part of an event's produced recordings. The slides and camera layout must be approved 1 week before the event and do not include any graphic services. Cadmium will work with the Customer's AV Provider to include a video feed in the recorded content. The Customer's AV Provider must provide a video camera, tripod, and cables.
