Inviting Exhibitors to the Lead Capture Exhibitor Portal

LIMITED RELEASE

Lead Capture is available to select customers. If enabled for a customer account, you will be contacted by your Project Manager with more information. If available to exhibitors, you will be notified by the event organizer.

An event organizer can invite exhibitors to log in to the Lead Capture Exhibitor Portal using one of the following methods: 

  • Expo Harvester (if contracted for exhibitor management)
  • Direct Link 


Expo Harvester - Task List Page

For event organizers using Expo Harvester for exhibitor management, display a link to the Lead Capture Exhibitor Portal under the Exhibitor Resources section of their task list page. 

  1. Navigate to the Settings menu in Expo Harvester.
  2. Expand the Exhibitors menu.
  3. Expand the Task List Options menu.
  4. Select Page Options and navigate to the Exhibitor Resources section. 
  5. Change the Display Lead Capture Portal Link setting to Yes.

The booth's unique link to log in to the Lead Capture Exhibitor Portal will display under the Exhibitor Resources section at the top right of the page.

Expo Harvester - Communication Module

For event organizers using Expo Harvester for exhibitor management, use a custom booth hotkey to email exhibitors their unique booth link to log in to the Lead Capture Exhibitor Portal. 

  1. Navigate to the Communication menu in Expo Harvester. 
  2. Select Create New Email
  3. Utilize the Email Template: Exhibitor License Welcome to draft your email. 
  4. Update From: to come from your email.
  5. Select Custom Booth Hotkeys
  6. Select + New Custom Booth Hotkey
  7. In the Text field, use the Booth Hotkeys dropdown to create the following: 
    • Booth @@@@BOOTHNUMBER@@@@: @@@@LC_LOGIN_URL@@@@ 
  8. Select Save Changes to return to the email body. 
  9. In the email body, select the hotkey from the Custom Booth Hotkeys dropdown. 
  10. Highlight the custom booth hotkey and format it. This ensures if the exhibitor has multiple booths, each unique login link will display as separate lines in the email. 
    • Select Format.
    • Select Formats
    • Select Blocks
    • Select Paragraph.
  11. Send a test email for an exhibitor that has multiple booths to verify the formatting looks good. 


Direct Link 

For event organizers using a third-party system for exhibitor management, you can download a report of unique URLs and share them with exhibitors using the steps below: 

  1. Navigate to the Reports tab in the Lead Capture Admin Portal
  2. Locate the report named Exhibitor Login URLs.
  3. Download the report.
  4. Email eachbooth their unique URL.

Access & Permissions

Only the email address associated with the Exhibitor Booth Admin has permission to log in to the Lead Capture Exhibitor Portal. For more information about the login process, refer to this article

Upon login, the display the exhibitor sees will vary depending on their assigned Lead Capture type. For more information about Lead Capture types, refer to this article.
