How to Use the Workstation Device

We recommend sharing this with your System Operator for the Speaker Ready System.

The Speaker Ready System is designed to allow speakers to easily review, update or upload their own presentations onsite without additional support. To accomplish this, the speaker will need to be logged in to a Workstation device.

After a speaker is logged in to the Workstation device, they will see a screen displaying their name and a list of all their sessions. From this screen, a speaker can:

To provide additional guidance and support to your speakers, print the Speaker Ready System Workstation Guide and place one next to each Workstation device. 

 

Review the Presentation  

To review the presentation:

  1. The speaker will select the Review button under the presentation file name to open the presentation.
  2. After reviewing the presentation, the speaker will close the file.

  1. The speaker will use the Save and Exit button to log out of the Workstation. 
  2. The workstation is now ready for the next speaker.

NOTE

If another speaker has been added to the Workstation queue, that speaker will be automatically logged in to the Workstation after the previous speaker selects Save and Exit.

 

Update the Presentation  

To edit the presentation:

  1. The speaker will select the Review button under the presentation file name to open the presentation. 
  2. The speaker can then make the necessary edits to their presentation  
  3. After making the desired edits, the Speaker will save and close the file.
  4. Once the save is complete, the updated presentation will be available in the session room within a few minutes.

IMPORTANT NOTE

Speaker Ready System requires that the file be saved in the same location where it was opened on the Workstation device. Therefore, speakers must use the Save option and not the Save As option as this will save the file in a different location.

  1. The speaker will use the Save and Exit button to log out of the Workstation. 
  2. The workstation is now ready for the next speaker.

NOTE

If another speaker has been added to the Workstation queue, that speaker will be automatically logged in to the Workstation after the previous speaker selects Save and Exit.

 

Upload a new Presentation 

To upload a new presentation, the speaker should first transfer their file to the Workstation device. Speakers can either use a USB drive or access their file online using an online storage location if the Workstation device is connected to the Internet.   

On the Workstation device:

  1. The speaker will select the Choose File button and select the file they wish to upload.

  1. Once the file is uploaded, a Submit button will appear next to the Choose File button.
  2. The speaker will use the Submit button to save the presentation to the Speaker Ready System.
  3. Once the upload is complete, the uploaded presentation will be available in the Session Room within a few minutes.

IMPORTANT NOTE

If a speaker uploads a new file on a Workstation device, the system will prioritize this version of the presentation over the version uploaded in Education Harvester. The file uploaded on the Workstation device will be distributed to the session room.

  1. The speaker will use the Save and Exit button to log out of the Workstation. 
  2. The workstation is now ready for the next speaker.
