Speaker Ready System Troubleshooting

Below is a list of possible issues you may encounter while using Speaker Ready System.  Click on the error you are experiencing to be directed to the troubleshooting tips.

I am having an issue with the Speaker Ready System installer.

  • Open a web browser and type: http://localhost/
    • An Activation code should be displayed

If you do not see an Activation code after installation, please follow this troubleshooting advice to resolve this issue: 

  • Uninstall the Speaker Ready System software
  • Confirm that any third-party anti-virus software has been removed from all devices for Speaker Ready System.    
  • Reinstall the Speaker Ready System software 

 

I am experiencing devices not being recognized on the network.

If you are experiencing devices not being recognized on the network, please follow these troubleshooting tips: 

  • Confirm that all devices’ Network Profiles are set to ‘Private’. 
  • Confirm that the following ‘Sharing’ settings are set properly: 
    • Network Discovery is set to ‘Turn on file and printer sharing’. 
    • File and Printer sharing is set to ‘Turn on file and printer sharing’.  
  • Confirm that all devices are on the same IP address ranges.  
  • Confirm that devices are physically connected to the network.

 

I don’t see the presentations synced to the cloud.

If you are experiencing an issue with presentations syncing to the cloud, follow these troubleshooting tips: 

  • Confirm that the Controller device is powered on and active with access to the Internet.  
  • Have the speaker resubmit their presentation on the Workstation device. 
  • Run a manual sync from Controller device. 

 

The device is failing to activate in Eventscribe Onsite.

If the device you are trying to activate in Eventscribe Onsite will not successfully active, follow these troubleshooting tips:

  • Confirm the device is connected to the Internet.  
  • Confirm the station code entered in Onsite matches the station code on the device activation screen. 
  • Confirm the device has the following services active and running via Windows Services: 
    • Eventscribe SRS  
    • Eventscribe SRS Uploader 
    • Postgresql-x64-15-PostgreSQL Server 15  

 

A Workstation or Podium device is failing to connect to the Controller.

If you are experiencing an issue with a Workstation or Podium device connecting to the Controller following these troubleshooting tips:  

  • If more than one Controller is configured for the event, confirm the correct Controller is connected to the device using Onsite and accessing the device details panel.
    • Confirm that the device is on the same subnet as that of the Controller. 
      • To test this, attempt to ping the hostname of the Controller directly from the device.
    • Confirm that the firewall exception has been made for the Speaker Ready Systems software on all devices. 
      • If the firewall exception has not been made: 
        • Navigate to ‘Allow an App or Feature’ through Windows Defender Firewall. 
        • Click ‘Allow another App’ 
        • Browse for: SRS, SRSUploader, CadmiumSRSProtocol (each one will need to be added individually) 
        • Once they have been added, confirm that ‘Private’ and ‘Public’ boxes are checked. 
      • If the firewall exception has been made, contact the event space IT department and ask them to verify that all communication ports are open on their network.

Confirm that the network allows traffic to communicate to all ports by connecting to an external device with specified ports.  

 

The SRS Workstation and/or SRS Podium devices are showing an offline status. 

If you are experiencing an issue with devices continuing to go offline, please follow these troubleshooting tips:  

  • Confirm the device has not been unplugged, closed or powered off. 
  • Confirm that all power saving features on the devices are disabled.  
  • Confirm that the devices’ network connection is active by opening a web browser and entering ‘localhost’. If the SRS screen appears, your connection is active.  
  • Confirm the device has the following services active and running via Windows Services: 
    • Eventscribe SRS  
    • Eventscribe SRS Uploader 
    • Postgresql-x64-15-PostgreSQL Server 15 

 

A device is showing offline in Eventscribe Onsite, but the device is online.

If a device is showing as offline on Onsite, follow these troubleshooting tips:  

  • Confirm that the Controller has access to the Internet to push the network status to the cloud.  

 

What are the SRS Windows Services?

The SRS service requires several Windows Services to be active to function successfully. Confirm the device has the following services active and running via Windows Services: 

  • Eventscribe SRS  
  • Eventscribe SRS Uploader 
  • Postgresql-x64-15-PostgreSQL Server 15 

 

I can’t launch the presentation on the Podium device.

If you can’t launch the presentation on the Podium device, the presentation can be manually opened on the device following these steps: 

  • Manually launch File Explorer 
  • Navigate to C:\Eventscribe\SRS\Room\’room name’\’presentation date’\’presentation time’\’presenter name’  
    • Presentation Files will be in this folder.   
  • Locate the presentation and open the file 

 

The Presenter is not listed in the ‘Search for Presenter’ dropdown menu on the Controller.

If you are experiencing an issue with finding a speaker on the Controller Login Screen, following these troubleshooting tips: 

  • Confirm that the speaker displays on the Users page of the Education Harvester.  
  • Confirm the speaker is assigned to a presentation in Education Harvester.  
    • If they are not assigned to a presentation, add them to the correct presentation in Education Harvester, and then have the Systems Operator use the Sync button on the Info Screen of the Controller. 
  • Confirm the speaker’s session is assigned to a Session Room. 
    • If the Presenter’s session is not assigned to a session room, add the Session Room to the presentation in Education Harvester and then have the Systems Operator use the Sync button on the Info Screen of the Controller. 
  • Confirm that the speaker’s role on the assigned presentation meets the filtering requirements on the Upload task in Education Harvester. 
    • If the speaker is not assigned the Upload task, assign them the upload task and have the System Operator use the Sync button on the Info Screen of the Controller.  

 

I cannot find a Session in the Speaker Ready System.

If you are experiencing an issue with finding a Session in the Speaker Ready System, follow these troubleshooting steps:  

  • Confirm the session is active on presentation page in Education Harvester. 
    • If you do not see the presentation in Education Harvester, you will need to add it in and have the System Operator use the Sync button on the Info Screen of the Controller. 
  • Confirm the session is assigned a room.  
    • If the session is not assigned to a room, add a room to the presentation in Education Harvester and then have the Systems Operator use the Sync button on the Info Screen of the Controller. 
  • Confirm the session has a speaker assigned to it.  
    • If the session does not have a speaker assigned to it, assign the correct speaker in Education Harvester and then have the Systems Operator use the Sync button on the Info Screen of the Controller. 

 

The same speaker is shown twice in the ‘Search for Presenter’ dropdown on the Controller.

If you are experiencing an issue with the same speaker showing twice in the Speaker Ready System, follow these troubleshooting steps:  

  • If the same speaker is shown multiple times, this means they have two accounts in the Education Harvester. You can continue to use Speaker Ready System and log them into each account.  

NOTE

You can create a queue when you log a user in to a Workstation. So you can log them into the first account and then log them into the next account on the same workstation.

  • Having duplicate Presenters can occur in Education Harvester if they were added with multiple email addresses.  Please review the help tip, ‘Consolidate User Presentations in an Event’ in Education Harvester to fix this issue.  

 

I do not see presentations downloaded to the Speaker Ready System from the Education Harvester.

If you don’t see presentations downloaded to the Speaker Ready System upon activating the Controller, follow these troubleshooting steps:  

  • Confirm the Upload task used to collect presentations is marked with the SRS flag in Education Harvester.   
    • If the task is not marked for SRS, update the task by clicking on the ‘SRS’ flag to enable it (it will show as green on your list) and then have the Systems Operator use the Sync button on the Info Screen of the Controller.
