General Considerations 

Speaker Ready System’s robust design allows it to function with limited Internet access. A connection to the Internet is only required on the Workstation and Podium devices during the activation phase. Once the activation phase is complete, Speaker Ready System is designed to operate as a local network therefore, the Podium and Workstation devices do not need an Internet connection to run Speaker Ready System. This local network allows Speaker Ready System to continue to operate if the local network’s Internet connection goes offline and can also function in limited capacity if the Local Area Network (LAN) experiences intermittent connectivity. While the system will function under these conditions, it is recommended that you have a fully functional LAN and robust Wide Area Network (WAN) configuration for maximum compatibility. Additionally, given the nature of the files transferred, LAN network bandwidth should remain unconstrained and capable of at least a 100Mbps connection (1 Gbps or higher recommended) to each device on the network. The external Internet connection speeds may vary but will increase the time it takes for content to sync remotely to the event's website and mobile app. 

Every device should be addressable via Internet Control Message Protocol (ICMP) and should acknowledge any request. A routable address to the Internet is required during the activation and setup of the Speaker Ready System network. It is highly recommended that all Controller devices maintain a routable connection to the Internet whenever possible. Additionally, while it is technically possible to use a non-network managed IP address space (e.g. local domain), this configuration is not recommended. A static IP address is not necessary for any of the devices on the network, however, it does make troubleshooting slightly easier. 

The Speaker Ready System network operates using the NetBIOS (NetBT) or Server Message Block (SMB) framework when available. Communication between devices is resolved via the NetBios Name Resolution protocol, so it is imperative that each device is provided a distinctive and recognizable name for local network discovery. Please follow these directions to change the host name on the devices you will use for Speaker Ready System. 

Network Configurations 

All Devices: 

  • Gigabit or faster network interface 
  • Setup Only: Network routable access to the public Internet
    • Outbound: all ports and protocols
    • Inbound: TCP/443, UDP/443 Required
  • NetBIOS Name Resolution between machines 
    • Required: uniquely addressable nodes
  • Internal traffic via the following ports must be open to both UDP and TCP traffic
    • 53, 80, 137, 138, 139, 443, 445, 1935, 5432, 8080-8080 
  • Outbound traffic during setup and SRS Controller: 
    • TCP/443
    • Whitelist these domains: *.gocadmium.com

Controller: 

  • Public network bandwidth of at least 10Mbps uplink/downlink

Approximately 20% more devices should be ordered and configured to have on-hand in the event of a device failure.

Software Requirements

  • Windows 11 Professional 
  • PowerPoint 2021 or higher (version 2108 Build 14332.20637 with valid licenses and activation complete) 
  • Adobe Acrobat Reader (version 24.001.20604 or higher recommended) 
  • Optional: Remote access software or VNC for centralized network administration 
  • Windows Defender and Window Firewall are tested anti-virus and firewall software. 
    • Any third-party non-Microsoft software is not recommended, should be removed and is untested for any SRS configuration.
