Upload Membership List

To upload a membership list

  • Go to the Membership Center and select the "Upload Membership List" page under the Manage header. 
  • Click on the link at the top of the page to download the example .csv file. This is the format you will need to follow in order to upload your membership list. 

As you format your csv file, please keep the following in mind:

  1. Each record must have a status. You can set the status to Active, Expired, Dropped, or Nonmember.
  2. Each record must have a category. If you are unsure of the categories available, you can go to the "Categories" page under the Setup header to confirm. In most cases, the category will be "MEM"
  3. Each record must have an "x" in the Filler column. This signifies the end of that record. 
  4. Leave any unused columns blank; do not delete them. 
  5. Do not rearrange the columns.
  6. Do not rename the columns. 
  7. You may add additional columns if you are loading data into UDF fields. Include the new columns between the “Fax” and “Filler” columns. The header of the column should be “UDF#####” where the ##### is UDFID number. If you are loading data for UDFs that use choice lists (radio button fields, drop-down fields), enter the text value of the choice. 
  • Once you have formatted your list and you are ready to load it, go back to the "Upload Membership List" page.
  • Enter your e-mail address in the "Send Notification To" field. 
    • If you would like to only add new records or update current records included in your list, leave the "Load method" field set to "Add/Update records on list." This is the load method that is used most frequently.
    • If you are loading a full membership list to replace all of the data currently in the system, switch the load method to “Replace all members with only records on list.” Any member who is currently in the system but not on your new list will be switched from the Member status to the Nonmember status. All other records will be updated according to the data in your list. 
  • Then, select your file and click on the upload button.

Once you have uploaded the file, you will receive an email letting you know if the file has been validated and scheduled for loading. After it has been scheduled for loading, you will receive a second email confirming that it has been loaded. The validation email should come quickly after you initially load the file. The second confirmation email may take some time.

If your list has not been validated for loading, the first email will indicate there was an error with the formatting of the file. Revise the file accordingly and then load it again.
