Refund a Portion of Registration Fee

Sometimes, you may want to refund a registrant a portion of the fee they paid. This can be done one of two ways.

1. If the registrant has purchased a registration fee that was more than they should have (i.e. full price when they should have chosen speakers rate), you can change the type if registration that they purchased. 

Use "Fast Search" to find the registrant and click the (B) next to their name to enter their "Transaction History". Below their name will be the registration fee type that they purchased and next to that, a "Change" button. Clicking the "Change" button will display a pop up with all of the Registration Fees available. Choose the replacement fee and, if they paid by credit card, check the "Refund by Credit Card if applicable". The Registration fee will be changed and if the new fee is less than the amount paid, the difference will automatically be refunded to the credit card. 

If they paid by check, change the registration fee to the correct one. After changing the registration, a positive balance will display in the transaction history. At this time, a check will need to be cut for the refund. Once the check has been cut, you can record the refund by clicking the "Add Transaction" button at the bottom of the screen. Here you can choose "Refund by Check" and the amount that was refunded. (NOTE: Entering "Refund by Check" does not, itself, refund the positive balance. A physical check must be cut. This function is for accounting purposes only.)

2.If the registrant is entitled to a discount, you can choose to apply a preset discount (see Discounts on how to set these up)by clicking the "Add Discount" button at the bottom of the transaction
history screen. Choose the discount that you would like and click OK. If the account was paid in full, you will now see a positive balance. 

If the Registrant Paid by Credit Card
Click the "Credit Card Refunds" button and enter the amount to be refunded and the transaction to apply it against (there will usually one be one transaction, if
there are more than one, be sure to confirm which one needs the refund. Click "Save" when finished. The balance should now read zero.

If the registrant Paid by Check or Cash-
At this time, a check will need to be cut for the positive balance amount. Once the check has been cut, you can record the refund by clicking the "Add Transaction" button at the bottom of the screen. Here you can choose "Refund by Check" and the amount that was refunded. (NOTE: Entering "Refund by Check" does not, itself, refund the positive balance. A physical check must be cut. This function is for accounting purposes only.)
