Account Creation and Event Codes

Attendees can create their own account on your Eventscribe event website and in the mobile app. Creating an account now always requires an event code. Eventscribe generates the code, and you share it with the people who should have access.

This article will review:

## What changed

The event code used to be optional, and you could type in your own. Now the code is required wherever account creation is turned on, and Eventscribe generates codes that are easy to read and share.

## Get your event code on the website

  1. Open your website settings and go to the Login Settings section.
  2. Set Can users create an account to Yes. A code appears under Event Code to Enable Account Creation.
  3. Click Save.
  4. Click Copy beside the code to copy it for sharing.

## Get your event code in the app

  1. Open your app settings and go to the Login Process page.
  2. Choose a login style:
    • Login Only: Attendees sign in with an account you created for them. They can’t create their own.
    • Single Screen Login: The same as Login Only, on one combined screen.
    • Login/Create Account + Event Code: Attendees can sign in or create their own account. Creating an account requires the event code.
  3. Click Save.
  4. If you chose Login/Create Account + Event Code, go to the Account Creation page. Your code appears under Event Code to enable account creation.

If you set up your website or app through the Basic Settings mission, the login step shows your code too. Choose Login or Create Account with Event Code, and the code appears with Regenerate and Copy beside it.

## Use one code for your website and app

If your event has both a website and an app, Eventscribe asks whether to use the same code for both when you save.

  • Choose Apply to app (or Apply to website) so attendees only need one code.
  • Choose Website only (or App only) to keep them separate. The other one gets its own code in its own login settings.

Switch one code to match the other

If your website and app already have different codes, a meeting planner can switch one to match the other. Next to Regenerate, click Use app code (or Use website code). If a code is already saved, you’ll confirm first. Once you save, the old code stops working, and the website and app share one code from then on.

## Replace a code

A meeting planner can replace a code by clicking Regenerate. You’ll confirm before Eventscribe replaces a saved code. After your event’s launch date, you’ll see a stronger warning and need to confirm that you understand attendees will need the new code.

If your website and app share a code, you’ll choose where to replace it:

  • Choose Both to give the website and the app the same new code.
  • Choose Website only (or App only) to replace it on just that one. The other keeps the current code, and the two are no longer shared.

WARNING NOTE

Once you set or replace a code, the old code stops working right away. Anyone who hasn’t created an account yet will need the new code. Update anything that shows the old code, such as emails or signage.

## Share the code

Share the code only where the people you invited will see it. Good places include:

  • Registration confirmation emails
  • A members-only page
  • On-site signage

IMPORTANT NOTE

Don’t post the code on a public page of your event website. Anyone who finds it can create an account, which is the same as having no code.

Keep the code out of your login instructions too. If your login instructions include the event code, your settings won’t save until you remove it.

## What a self-created account can see

An account someone creates for themselves gets the access level set in Default access for New Accounts. For new events, that default is Basic, the level meant for a guest or a walk-up rather than a registered attendee. If someone needs more access, create their account for them or import them with your attendee list, and set their access level there.

Every self-created account also needs an email address. We use it to match a new account against one the person may already have, and attendees use it to recover a password later.

## When to use account creation

Account creation works best as a backup. It gives someone a basic account on the spot, which is exactly right for a walk-up who never registered or a guest who shouldn’t see your full program.

CADMIUM RECOMMENDS

For everyone else, create accounts ahead of time. Import your attendee list or run registration through Eventscribe Registration.

When you create accounts ahead of time:

  • You can email attendees before the event, because you know who they are.
  • Access levels and content restrictions are correct from the first login.
  • Your login reporting shows who actually engaged.
  • You avoid duplicate accounts, the most common cause of “I can’t see my sessions” support tickets.
